How to Create and Manage Email Accounts
ApnCloud Email Hosting allows you to create professional email addresses using your own domain name. You can create mailboxes for different departments, team members, or business purposes and manage them from your email hosting control panel.
Follow the steps below to create and manage email accounts.
1. Log In to Your Email Hosting Control Panel
First, log in to the management panel provided with your ApnCloud Email Hosting service.
Use the login information provided in your service activation details or available through your ApnCloud Client Area.
2. Select Your Domain
If your Email Hosting service contains more than one domain, select the domain where you want to create the new mailbox.
For example, if your domain is:
yourdomain.com
you can create addresses such as:
[email protected]
[email protected]
[email protected]
3. Open the Email Account Management Section
Look for the section used to manage mailboxes or email accounts.
The option may appear as:
- Email Accounts
- Mailboxes
- Users
- Manage Email
The exact wording may vary depending on the email hosting interface.
4. Create a New Email Account
Click the option to create a new mailbox or email account.
Enter the username you want to use.
For example, entering:
support
for the domain yourdomain.com will create:
[email protected]
5. Create a Strong Password
Create a strong and unique password for the mailbox.
A strong password should include a combination of:
- Uppercase letters
- Lowercase letters
- Numbers
- Special characters
Do not reuse the same password for multiple email accounts.
6. Set the Mailbox Storage Limit
If your Email Hosting plan allows individual mailbox quotas, select an appropriate storage limit for the account.
Make sure the total storage used by your mailboxes remains within the limits of your Email Hosting plan.
7. Save the Email Account
Review the email address, password, and storage settings carefully.
Click Create, Save, or the available confirmation button.
The new email account should then appear in your mailbox list.
8. Access the New Mailbox
After creating the account, you can access it using the available webmail service or a compatible email application.
Use the full email address as the username.
For example:
Email: [email protected]
Password: Your mailbox password
9. Change an Email Account Password
If you need to update a mailbox password, open the email account management section and select the relevant mailbox.
Choose the password change option, enter a new strong password, and save the changes.
After changing the password, remember to update the password in any connected email applications.
10. Manage Mailbox Storage
Monitor mailbox storage regularly to avoid reaching the available quota.
If a mailbox becomes full, the user may experience problems receiving new messages.
You can reduce storage usage by:
- Deleting unnecessary emails
- Removing large attachments
- Emptying Trash and Spam folders
- Archiving old messages where appropriate
11. Delete an Email Account
If an email account is no longer required, you may delete it from the management panel.
Before deleting a mailbox, make sure any important messages or data have been backed up.
Deleting an email account may permanently remove its stored messages and related data.
12. Use Professional Email Addresses
For business communication, use clear and easy-to-understand email addresses.
Common examples include:
Avoid creating unnecessary mailboxes that will not be actively managed.
