How to Configure IMAP and SMTP Settings

IMAP and SMTP settings allow you to connect your ApnCloud Email Hosting mailbox to email applications such as Microsoft Outlook, Thunderbird, Apple Mail, Android, iPhone, and other compatible mail clients.

IMAP is used to receive and synchronize email, while SMTP is used to send email. Always use the exact server information provided with your ApnCloud Email Hosting service.

1. Collect Your Email Account Information

Before configuring your email application, make sure you have the following information:

  • Full email address
  • Mailbox password
  • IMAP server hostname
  • IMAP port
  • SMTP server hostname
  • SMTP port
  • Encryption type

You can find the required server details in your Email Hosting activation information or management panel.

2. Use Your Full Email Address as the Username

When your email application asks for a username, use your complete email address unless your service instructions state otherwise.

For example:

[email protected]

Make sure there are no extra spaces before or after the email address.

3. Configure IMAP for Incoming Email

IMAP keeps your email messages synchronized between the mail server and your devices. This makes it suitable for users who access the same mailbox from multiple computers or mobile devices.

When configuring IMAP, enter:

  • IMAP server hostname provided with your service
  • Required IMAP port
  • Recommended SSL or TLS encryption
  • Your full email address
  • Your mailbox password

Do not guess the mail server hostname. Use the exact value provided for your account.

4. Configure SMTP for Outgoing Email

SMTP is responsible for sending messages from your mailbox.

Enter the following information in the outgoing mail server section:

  • SMTP server hostname
  • SMTP port
  • SSL or TLS encryption setting
  • SMTP authentication enabled
  • Full email address as username
  • Mailbox password

SMTP authentication should be enabled when required by your Email Hosting service.

5. Common Secure Mail Ports

Your activation details should always be used as the primary reference. However, secure email services commonly use ports such as:

  • IMAP with SSL/TLS: 993
  • SMTP with SSL/TLS: 465
  • SMTP with STARTTLS: 587

If the settings provided with your ApnCloud Email Hosting service are different, use the provided settings instead.

6. Enable SSL or TLS

Use secure SSL or TLS encryption when supported and required by your mail server.

Secure connections help protect login credentials and email data while they are transmitted between your device and the mail server.

7. Save the Account Settings

After entering the IMAP and SMTP information, save the account configuration.

Your email application may automatically test the incoming and outgoing server connections.

If both tests succeed, the mailbox should be ready to use.

8. Test Incoming Email

Send a test message to your hosted mailbox from another email address.

Confirm that the message appears in your email application.

If incoming email does not work, check:

  • IMAP hostname
  • IMAP port
  • Encryption setting
  • Email address
  • Mailbox password

9. Test Outgoing Email

Send a test message from your ApnCloud Email Hosting mailbox to another email address.

If the message cannot be sent, verify:

  • SMTP hostname
  • SMTP port
  • SMTP authentication
  • SSL or TLS settings
  • Username
  • Password

10. Check Your Domain DNS

Email client settings and domain DNS are separate parts of your email configuration.

If your mailbox settings appear correct but email delivery is not working, verify that your domain has the correct mail-related DNS records.

These may include:

  • MX records
  • SPF
  • DKIM
  • DMARC

Use the DNS records provided for your ApnCloud Email Hosting service.

11. Common IMAP and SMTP Problems

If your email application cannot connect, check the following:

  • The full email address is being used as the username
  • The mailbox password is correct
  • The server hostnames are entered correctly
  • The correct ports are configured
  • The correct encryption option is selected
  • SMTP authentication is enabled
  • Your internet connection is working
  • The mailbox has not reached its storage limit

12. Update Saved Passwords

If you change your mailbox password, remember to update the saved password on every device and email application connected to the account.

Using an old saved password can cause repeated authentication errors.

Security Tips

  • Use secure SSL or TLS connections
  • Use a strong and unique mailbox password
  • Do not share your password with unauthorized users
  • Keep your email applications updated
  • Remove your mailbox from devices you no longer use
  • Change your password if you suspect unauthorized access
